This policy explains how Moduline Construction & Fit-Out Limited (“Moduline”, “we”) handles personal information collected through modulineconstruction.co.uk. It covers the enquiry and contact forms, cookie choices and optional analytics. It does not describe employee records or a project contract, which are handled separately if a project proceeds.

What the enquiry form collects

If you submit the fit-out enquiry or the contact form, we receive the details you choose to provide. That can include:

• Name, company, role, email and optional telephone number
• Property location, property type and current condition
• Approximate floor area, if you provide it
• Requested project type and works
• Whether the office may be occupied, access notes and building restrictions
• Landlord approval status, target dates and optional budget guidance
• Project stage, project description and any additional notes

We ask you not to send passwords, alarm or access codes, banking details or identity documents. The form does not ask for them.

What we do not collect by default

The website does not require an account. It does not ask for payment card details. It does not upload drawings unless a separate, agreed method is used after initial contact. It does not sell enquiry information.

Why we use enquiry information

We use enquiry details to read the brief, reply, and decide whether a project discussion is possible. The lawful bases are steps taken at your request before a possible contract, and our legitimate interest in responding to commercial enquiries. You can object to processing based on legitimate interests by emailing us.

Cookies and analytics

Essential storage records your cookie decision in this browser so the banner does not repeat on every page. Optional analytics is off until you accept it. If an analytics tool such as Google Analytics has been configured and you accept analytics, that tool may process technical data such as pages visited and a truncated or anonymised IP address. If no analytics tool is configured, accepting analytics does not start one.

Processors

Our website host serves the pages. If you email us, your email provider and ours handle that message. If a form endpoint is connected (for example a form service or project system), that provider processes the submission on our instructions. We tell you which endpoint is in use by configuring it on the site; until then, the form prepares an email and does not send the brief to a server by itself.

Retention

Enquiry correspondence is kept for up to 24 months after our last communication about that enquiry, unless a longer period is needed for a resulting contract, a legal claim or a regulatory duty. The cookie choice stays in local storage until you change it or clear site data. Analytics retention, if analytics is switched on, follows the settings of that tool.

Your rights

Depending on the circumstances, you can ask for access, correction, erasure, restriction, or a copy of information you provided, and you can object to processing based on legitimate interests. Where we rely on consent, you can withdraw it at any time. You can complain to the Information Commissioner’s Office at ico.org.uk. We may need to confirm your identity before acting on a request.

International transfers

If a processor we appoint stores information outside the UK, we put appropriate safeguards in place where UK data protection law requires them.
